General ConceptsThis section is intended to help you gain an overall
understanding of how elements of WML work (for example, the menus). These
concepts apply to many areas of the programme. For example, the Using A Mouse
section has information which applies to almost every part of WML, not just one
screen or a particular function.
How to get HelpHelp_HelpWML has three types of assistance available to
you:~1. Context-sensitive help via the F1 key~2. An index of help topics
available via the |H|elp/|I|ndex option~3. On-line Operating Guide - the
complete electronic documentation, consisting of 70+ pages which may be viewed
or printed.~~Watch the lower-left of the screen for a message showing "F1"
above "|Help|". Whenever you see this message you can press the F1 key to get
help on the specific screen or field on which the blinking cursor is
positioned.
How to use the menusMainMenuWML uses the same type of menu found in Windows,
Gem, QuickBASIC, and other popular software. The menu, which is on the second
line of your screen, is two-dimensional: there are |menu headings| horizontally
and under each of these are the actual |menu items|. There are three ways to
choose a menu item:~~1. Use the right, left, up, and down arrows to highlight
the item you want then press |─┘Enter|, or~~2. Press the highlighted letter of
the menu item, or~~3. Use a mouse to highlight a choice; select it by clicking
the left button.~~For example, you can press |F| then |x| to exit WML, or
highlight |File| then press the down arrow and highlight |Exit| then press
|─┘Enter|.~~|NOTES|~~To pull-down (|open|) a menu just highlight it then press
|─┘Enter| or the |down-arrow| key.~~To |close| a menu press the |Esc| key. It
is not necessary to close a menu. You can use the right/left arrows with the
menus opened to browse all of the options. Usually the only reason to close a
menu is so you can use the letters instead of arrows (e.g., if you had the File
menu open and wanted to use the Help Index you could press Esc to close the
File menu then press |H|-|I|).
How to use the Disk Browser windowFileBoxThe Disk Browser window opens
whenever you choose an option (such as |F|ile, |O|pen & Manage) which requires
you to specify a disk file.~~The Disk Browser has these areas within it:~1. On
the top left is the File Name Field into which a file's name may be typed.~2.
Below the File Name Field is the File List, which shows all files in the
current directory which may be used for the operation requested (for example,
when opening a mailing list file you will only see mailing list files, although
other files may exist in a directory). You can highlight a file within this box
rather than typing its name.~3. Along the bottom of the window are the File
Description Field (which may contain any description you desire or none at
all), the size of the highlighted file (if applicable), and the last
modification date & time of the highlighted file (if applicable).~4. In the top
middle is listed the active drive and directory.~5. Below the active drive &
directory is the Directory List which shows the directories above and below the
active one. You navigate the disk tree using the Directory List.~6. Below the
Directory List is the Active Drive field, which shows the disk drive in use.
Accessing this field lets you change between your computer's disk drives.~7.
Along the right side of the Disk Browser, arranged vertically, are the command
"buttons".~~|Using a Mouse|~~You may use a mouse (or other pointing device) to
move the mouse cursor over a desired field, list item, or button, and then
click the left button to activate the field, choose the item, or issue the
command. For example, you might move the cursor over a desired file, click the
left button (you will see the file become highlighted and its name will appear
in the File Name Field), then move the cursor to the "Ok" button and click the
left button again.~|√| To change the active directory, press the left button
|twice|. For all other areas you need only press the left button
|once|.~~|Using the Keyboard|~~To move between areas on the screen, press the
|TAB| key ── you will see the active area change, indicated by a highlighting
bar.~~To move between items in a list, use the up || and down || arrow keys
to highlight a choice and press the |─┘ENTER| key to select
it.~~|Buttons|~~Here is a list of the buttons found on the right side of the
window.~|√| Every button may not be displayed. For example, if there isn't a
help window defined for the operation, the Help button will not appear.~~| Ok|
signals that you are satisfied with your selection. The file name highlighted
in a rectangle near the top left of the window will be operated upon.~|
Cancel| signals WML to cancel the operation it was performing and return to the
menu.~| Help| provides this help window.~| Mk Dir| stands for "Make
Directory", and it can be used to create new directories from within WML. For
example, you may wish to create a new set of files and place them in a separate
directory; rather than existing WML in order to create the directory, just
press the |Mk Dir| button.~| Delete| signals WML to delete the file
highlighted in the rectangle at the top left of the window along with its
indices. WML will confirm the operation before it actually erases the files.~|
Rename| is used to change the disk name of a file and its indices. For example,
perhaps you called your first mailing list file "MYLIST" and then decided that
you wanted a more descriptive name, such as "BUSINESS." Click on the |Rename|
button and WML will ask for the new name to give the file and its
indices.~~|Changing a file's description|~~To change the description of a file
just choose the |F|ile/|O|pen menu option, highlight the desired file, move to
the description box (using the TAB key) and change the description.
How to use the Groups pop-up windowGroup_F3WML has a Group Selection Window
which "pops" open when you press the F3 key while on the Names Data Entry
screen, when you query by group (from the Print-Select-Query sub-menu), or when
using the group functions on the Actions sub-menu. The Group Selection Window
lets you choose up to 20 groups.~~|| Use the arrow (||) and |PgUp|/|PgDn|
keys to highlight a desired group~|| Press the |SpaceBar| to toggle the group
on and off. If an arrow appears to the left of a group name it means that it is
(or will be) used.~|| Once you have flagged all the desired groups press
|─┘Enter| or |F7|.~|| To cancel your group selections press the |Esc| key. On
the Names screen, pressing the Esc key will keep the group definition the same
as it was (i.e., any changes to the group selection will be ignored).
How to use a mouseYou may use a mouse (or trackball or touch pad) in lieu of
keyboard commands if you prefer. The basic procedure is the same as for any
software package: position the cursor and click the left button.~~√ To 'click'
a mouse button means to press it until it makes a 'click' sound then release
the button.~√ If your mouse has more than one button, WML only uses the left
button.~√ For menu items and highlighted "buttons" you need only click once~√
If an item may have more than one operation performed on it then a single click
of the mouse button will highlight the item and a second click of the button
will perform the default operation. For example, on the Preferences screens
clicking once on an item will highlight it, at which point you may get help
about the item or view a list of options. If you click the mouse button a
second time the list of options appears on the screen because it is the most
likely operation a person would want to perform.
Why are some menu choices unavailable?Menu choices are sometimes "grayed-out"
(displayed in low-intensity gray) to indicate that they are not available. When
this is the case, it means that certain conditions are not being met to allow
the use of the function. For example, if you have not opened a file, the Print,
Import, and Export options will be unavailable since they operate on the data
contained within a file.~~The most common reasons for items being unavailable
are:~~|| No file open ── if a file is open, its name is displayed after the
|PostMaster| title at the top of the screen. Until you create (with the
|F|ile/|N|ew command) or open a file (with |F|ile\|O|pen), you will not be able
to access the DataEntry/Names screen.~~|| No items selected ── in order to
print labels, envelopes, etc. you must first select the items which you want to
print. If you have opened a file, look at the status line at the bottom of the
screen to see how many records are Selected.~~|| Printer or fonts not defined
── you must tell WML which printer you are using and which of the printer's
fonts to use when printing before you can print anything. See the
Preferences/Printers screen to define this information.
Sequence of Printing & ViewingTo control the order in which entries are
printed or viewed use the Index menu. You will see a || mark next to the index
which is currently in use. For more details see the |Index/Filter| section.
POSTNET Bar CodesWhen printing USA addresses, POSTNET bar codes can be
printed above the address information (except for envelopes on laser & ink jet
printers where the bar code is printed near the bottom of the envelope). For
labels, the bar code will only print if the Bar Code option is checked on the
corresponding Labels Preferences screen.~~|USPS Guidelines:| Bar codes must be
¼" from the bottom and 3½" to 4½" from the right edge of the envelope. WML
allows for ¼" at the bottom and 3-7/8" from the right edge, but you must set
the margins (or "offsets") on the Envelopes Preferences screen.~~If you are
having trouble printing bar codes, see the Trouble-Shooting section below.
Status LinesWML has two status lines, at the top & bottom of the screen. At
the top is the title of the programme and the WML file you have open (if any). At
the bottom of the screen is a bar which looks like
this:~~|Total│Selected│Bad/Omit│Pack│Index│01-01-1980|~~From left to right the
items are:~|| Total records in the open file~|| Total records selected for
printing~|| Total records bad or excluded from mailings~|| The word |Pack| if
there are entries to be erased~|| Index in use (name, company, address, or
zip)~|| To-day's date (so far as the computer knows). If you have a filter
chosen, this will be replaced with "|Filter|" followed by a word indicating the
chosen filter or a sequence of letters indicating multiple filters. If the
filter message is |bright| the selection is unchanged, otherwise changes have
occured. For example, you have set the filter to Selected Only then cleared the
selection status of a record. The filter message would change to dim since the
filter is no longer accurate.
What does 'Selected' mean?Your mailing list has entries in it, and each entry
has a |Selected for printing| toggle switch, which you can see on the right
side of the Data Entry/Names screen. This toggle is either ON or OFF. A
check-mark in the box |[√]| means that the entry is Selected; otherwise |[ ]|
it is not.~~The general idea here is that you |select| the records that you
want to do something with (like print them). This could also be called
"marking" or "flagging" entries. Most often the selected records will be
printed on envelopes or labels, but you can also perform other actions on them.
~~|EXAMPLE|~~Let's say you want to move records from one file to another. You
can do it by Selecting them then importing or exporting (import & export both
allow you to operate on all entries or just the Selected entries).~~|How To
Select Entries|~~There are two ways you can select entries:~~|1|. One-by-one by
accessing an entry on the Names Data Entry screen, then pressing |»Alt«|-|S| to
toggle the Selected switch ON and OFF, or~~|2|. Using the
File/Print-Select-Query option, which gives you complete flexibility to select
the whole list, individual entries, or entries which match certain criteria.
Tracking the sources of entriesFor various types of marketing you may wish to
identify the source from which a contact was obtained in order to establish an
accuracy rate for the source or some other data. Although WML does not provide
a separate field for this, it |does| give you an easy way to keep track of
sources using the Groups feature.~~Create a group description for each source
(using the |D|ataEntry/|G|roups option on the main menu). WML lets you create
up to 256 groups, and each entry may belong to as many as |20| groups.~~After
you have defined the groups just press the |F3| key while on the
|D|ataEntry/|N|ames screen. For more information about groups see the Help
entry for |Data Entry - Groups|.
Tutorial TopicsThis section contains samples of some common tasks, such as
creating a new file, printing envelopes, etc.
Creating a new fileCreating a new mailing list file is like taking a new file
folder out of a box and placing a label on it. When you want to create a new,
blank file, follow these steps:~~1. "Pull down" the |F|ile menu by pressing the
|F| key or clicking on it with a mouse.~2. Click on the |N|ew (create a file)
item with a mouse or press the |N| key.~3. You will see the Disk Browser; the
cursor will be blinking inside a box near the upper left of the window. In this
box you enter the name of your new file, which may be one to eight letters
and/or numbers in length. You may also use the dash (-), underscore (_), and
all the symbols found over the numbers except for the percentage sign (%) and
asterisk (*).~4. Press ENTER after typing in a file name.~5. The cursor jumps
to the Description line. Type in a description for the file or leave this
blank, as you prefer.~6. Press ENTER. The Disk Browser window will disappear
and the new file's description or name will appear at the top of the screen.
You may now access the Names DataEntry window to add entries to the file.
Choosing the disk drive to useWhenever you must specify a file (e.g., File
Open and New functions, Import, Export, etc.) you will see a familiar Disk
Browser window. The Disk Browser window contains four distinct elements:~~1.
File names on the left~2. Directories in the middle~3. Buttons (actions) on
right right~4. File Information at the bottom~~Under the directory list (the
box in the middle of the window) you will see the word "Dri|v|e" followed by a
drive label such as "C:". To change the disk drive press |Alt-V| (hold down the
|Alt| key then press |V|). WML will test your computer for valid drives (which
may take zero to several seconds) and then will present a menu of available
drives.~~Use the up and down arrows to highlight the disk drive you want to use
then press ─┘Enter.
Opening an existing fileEvery time you exit WML the name of the file you have
open is saved, and that file is automatically opened the next time you use WML.
If you have a single mailing list file you could get by without ever having to
open a file. If you choose to create more than one mailing list file, however,
you will have to tell WML which one you want to have open.~~The description or
file name of the open file is displayed at the top of the screen. If the screen
says "PostMaster" this means that no file is open.~~To open a file which has
previously been created, follow these steps:~~1. "Pull down" the |F|ile menu by
pressing the |F| key or clicking on it with a mouse.~2. Click on the |O|pen &
Manage item with a mouse or press the |O| key.~3. You will see the Disk Browser
window; the cursor will be a highlighting bar at the top of the file list
window. Use the up & down arrows to move through the list in order to highlight
the desired file. Notice that the information at the bottom of the window
changes to reflect each file.~4. Press ENTER. The Disk Browser window will
disappear and the new file's description or name will appear at the top of the
screen.
Changing a file's descriptionYou can change a file's description any time you
are on the Disk Browser window. In fact, any number of file descriptions can be
changed from this window -- just change one file's description, then choose
another file, change it's description, etc.~~To change a file's description
follow these steps:~~1. "Pull down" the |F|ile menu by pressing the |F| key or
clicking on it with a mouse.~2. Click on the |O|pen & Manage item with a mouse
or press the |O| key.~3. You will see the Disk Browser window; the cursor will
be a highlighting bar at the top of the file list window. Use the up & down
arrows to move through the list in order to highlight the desired file. Notice
that the information at the bottom of the window changes to reflect each
file.~4. Press the TAB key (which may simply have arrows like ── and ── on
it) until the description box is highlighted and the blinking cursor appears
within it.~5. Enter any changes to the description then press ─┘Enter.~The
Disk Browser window will disappear. If you changed the description of the open
file then the new description will appear at the top of the screen.
Grouping entriesGroups are a great way to organize entries within a list. You
can have groups like, "Friends", "Customers", "Prospects", and so on. Up to 255
groups may be defined and every entry may belong to none or as many as 20
groups.~~The groups in which an entry is included are defined on the Names
DataEntry screen. To review or change the groups for the entry displayed on the
screen press the |F3| key; two windows will pop open:~∙ the one on the left
shows all available groups with an arrow () to the left of the ones in which
this entry is included~∙ the one on the right shows |only| the groups in which
the entry is included (for easy review).~~To toggle inclusion in a group just
highlight the group in the left window by pressing the up & down arrow keys
then press the SpaceBar. You will see the list of defined groups in the right
window change as you make changes on the left.~~When you are finished making
changes press the |F7| key.
Printing entries within a groupThere are three steps to printing a set of
entries:~~1. Clear any previous selection~2. Select the entries to be
printed~3. Print~~Before you can perform these steps you must have a mailing
list file opened which has at least one entry in it.~~1. "Pull down" the |F|ile
menu by pressing the |F| key or clicking on it with a mouse.~2. Click on the
|P|rint/Select/Query item or press the |P| key. You will see the
Print/Select/Query sub-menu appear below WML's main menu line.~3. Check the
bottom status line to see how many entries are Selected; if any are, then clear
this existing selection by pressing |L| or clicking on the A|l|l menu, then
choosing "|C|lear (don't print)".~4. Press |G| or click on the |G|roups menu,
then choose "|S|elect by group".~5. A menu of groups will pop open from which
you may choose up to 20 by pressing the SpaceBar to toggle each group ON &
OFF.~6. When you have made your selection press |F7|.~7. If you chose more than
one group WML will ask if you want to Select entries in |any| of the groups
(e.g., Group1 OR Group2) or entries which are only in |all| of the groups
(e.g., Group1 AND Group2). Highlight your choice and press ─┘Enter.~8. Press
|P| or click on |P|rint to pull-down the print menu, then choose whether to
print |L|abels or |E|nvelopes.
Printing one label or envelopeWhen you want to print a single envelope or
label, perhaps for an entry you just typed into WML, just press |Alt-P| while
on the Names DataEntry screen. You will be asked which printer to use (if you
have two printers defined), and whether to print an envelope or a label. If you
choose to print a label WML will also ask you to specify which label type is
being used.
Printing many entries on labels or envelopesWhen you want to print a batch of
entries on labels or envelopes use WML's Print/Select/Query sub-menu, which can
be accessed from the |F|ile menu.~~The |P|rint menu contains all of the types
of printing WML is able to produce for the Selected entries. The right-most
|A|ctions menu contains actions other than printing which may be performed on
the Selected entries. The middle items let you choose entries based on a broad
range of criteria.~~In general, the steps to printing a batch of entries from
an open file is:~~1. Go to the Print/Select/Query sub-menu~2. Choose "A|l|l",
then "|C|lear (don't print)"~3. Choose any of the middle (query) menus to
Select the entries you want to print.~4. Go to the |P|rint menu and choose the
type of output to produce.
Ending WML (return to DOS)When you are finished using WML and want to end the
programme there are several ways in which you may accomplish this:~~1. The
fastest & easiest way is to press the |F10| key, which will save anything on
the screen (if necessary) and end WML.~2. Select the E|x|it option under the
|F|ile menu: if all menus are closed, press the |F| then |X| keys, or use the
right/left arrows to highlight the |F|ile menu then use the up/down arrows to
highlight E|x|it, then press ─┘Enter.~3. Using a mouse, point to the |F|ile
menu, click with the left mouse button, then point to E|x|it, and click the
left button again.
Registration & SupportThis section provides information about support from the
author and explains computer requirements for WML to operate properly. If you
have trouble, you will find in this section how to get help in printed and
electronic form and how to contact the author for technical support. If your
questions are not answered here, then read the Technical Support section.

sections of the manual can be a great help. If you are not yet a registered

How to print the documentationDocumentation files~| READ.ME|÷The latest

WML.WP|÷Shareware manual in WordPerfect 5.1 form~| ORDER.FRM|÷An order form
for Organic Software products (You can also print order forms from WML's Help
menu)~~Displaying Documents on the Screen~1. Go to the DOS prompt and change
to your WML directory (e.g., "cd \wml").~2. Type |LIST filename| ── if you have
4DOS or LIST.COM in your computer you will see the file appear almost
instantly; if you see the message "Bad command or file name") then use the
command |MORE < filename| instead~~Printing Documents without a word
processor~ 1. Go to the DOS prompt and change to your WML directory (e.g., "cd
\wml")~2. Enter |TYPE filename > PRN| (without the quotation marks) where
"filename" is the name of the file you wish to print.~|√| If underlining is
causing an extra line to be generated, it means your printer is adding a Line
Feed (LF) character to the Carriage Return (CR) character. This used to be
common in days of old when data moved slowly and saving one byte was
significant, but these days most software works better if you turn this feature
OFF. Look in your printer's manual for a feature described as "CR=CR or
CR=CR+LF" or something similar.~~Printing Documents with a word processor~If
you have WordPerfect, Word, or another word processor which can open or import
WordPerfect files, you will get a much better looking manual if you use it to
load and print the file WML.WP. WordPerfect users will find further
instructions in a comment at the top of the file.
How to registerIf you use WML past the 60-day trial period you are required
to pay the registration fee. If you regularly use WML you will want to register
for these great benefits:~|√| You'll get the latest version on floppy disk with
automated installation, PCL (laser or inkjet) soft fonts, and over 70,000 US
zip codes.~|√| Support from the author will be available via telephone, mail,

How to obtain updatesWML is updated several times per year. If a message

of the programme; if it is over a year old you would probably be amazed at the
improvements you could be using.)~~I want everyone (registered and unregistered
users alike) to have access to the latest and best version, so here is how you

Index section entitled |Updates via modem| for a list of BBSs and Internet
sites from which you may obtain a current version. Many of these BBSs will let

Technical SupportSupport is available for registered users and those

Requirements & Trouble-shootingThese topics discuss particular hardware
situations, problems & solutions, etc.
Hardware RequirementsThe minimum equipment required to operate WML is as
follows:~~|| Any 8088 or 80x86 ("IBM-compatible") computer. An 80286 or faster
is recommended.~|| Any kind of monochrome or colour monitor.~|
| A disk with at
least 1.2Mb free space. A hard disk is recommended along with a hardware or
software read cache (such as SmartDrv).~|| At least 450kb of free RAM (use
CHKDSK or MEM commands to see your available RAM). Having 500kb of free EMS
and/or XMS memory in your computer will speed the operation of WML, but is not
necessary.~~|Disk Requirements|~~You will need 1.2Mb to 1.7Mb of disk space for
the programme files, depending on which optional files you decide to keep on your
disk, plus space for the files you will create. You may keep data files and
programme files in different directories or on different disks, so floppy disk
use is possible (although it will be very slow compared to a hard disk).
Software Requirements|Operating Systems|~~WML has been tested and found to
work properly with the following |D|isk |O|perating |S|ystems (DOS) and command
interpreters:~~ PC-DOS 3.33 and 6.1~ MS-DOS 5.0, 6.2, and 6.22~ 4DOS 4.0,
5.0, and 5.5~ DR-DOS 6 and Novell DOS 7~ OS/2 2.1 and 3.0 (Warp)~~WML should
operate properly with version 3.1 or later of PC-DOS or MS-DOS. DOS versions
prior to 3.1 do not provide file locking (required for network use), but as
long as WML isn't used by more than one person at once I believe even DOS 2.x
would work. However, WML has only been tested with the versions listed above,
so I cannot guarantee the performance with other DOSs. If you are using a DOS
or DOS version other than one of those listed above, I recommend you switch to
one of the DOS versions listed above.
Laser Printer FontsFonts are different styles of type your printer can
produce (e.g., Helvetica and Roman are two common fonts). Your PCL printer has
one or more of the following types of fonts:~~|| Resident fonts ── these are
permanently stored in the printer's memory to be used at any time.~||
Cartridge fonts ── these fonts are stored in electronic memory in the form of a
plug-in cartridge. As long as the cartridge is plugged into the printer, the
fonts are available for use.~|| Soft fonts ── these are stored on disk and
downloaded (sent) to the printer as needed.~~|NOTES|~~Envelopes normally use
|landscape| fonts (soft fonts ending in .SFL), labels use |portrait| fonts
(soft fonts ending in .SFP). Some printers, such as the original HP DeskJet,
print envelopes in portrait orientation.~~When you view the list of fonts for a
given function (e.g., printing labels) you will only see those fonts which are
available in the correct orientation. For example, if your printer has Courier
10 in portrait but not landscape, you will not see Courier 10 in the list of
fonts for envelopes unless envelopes print in portrait orientation on your
printer.~~Soft fonts |must| end in SFL (landscape) or SFP (portrait). If you
have PCL soft fonts with different extensions (such as USP), just rename them
to SFP or SFL as appropriate. SFP and SFL are the most common extensions,
meaning |S|oft |F|ont |P|ortrait and |S|oft |F|ont |L|andscape.
Using WML on a monochrome laptop computerLaptop and other portable computers
which use a monochrome ("black & white") LCD or gas plasma display screen are
similar to computers which have VGA monochrome displays ── WML knows you have a
VGA (or EGA or CGA) display |adapter|, but it doesn't know the type of
|monitor|. If you have a one-colour monitor (like LCD), some things may be
difficult or impossible to read on the screen.~~To remedy this problem, use the
|/M| (Monochrome) switch when you start WML ── enter |WML /M| at the DOS
prompt. If you are "launching" WML from within Windows, highlight your WML icon
then press »Alt«-Enter (or access the File/Properties menu item with your
mouse) and add |/M| at the end of the command line.
Problems printing bar codesIf bar codes are only partially printing or not
printing at all, they are probably being positioned beyond the printer's
margins. Here are steps to correct this problem:~~| Envelopes:| Set the
Bottom Offset on the Envelope Preferences screen to a positive number (e.g.,
|0.1| will move the bar code |up| by 0.1 inches).~| Labels:| On a laser
printer the left margin setting is important for labels to print properly. I
suggest you print test sheets of labels on plain paper then hold the paper with
a sheet of labels up to a light source to see if they line up properly. Adjust
the left margin from the Labels Preferences screen. On a dot matrix printer
you can physically adjust the tractor (which controls the position of the
labels) or adjust the left margin on the Labels Preferences screen.~| 9- and
11-digit bar codes:| A 9-digit bar code is about 6cm (2½ inches) wide; a full
DPBC (11-digit) bar code is about 7cm wide. If your labels are not wide enough
to print a 9-digit or 11-digit bar code, WML will print a 5-digit bar code
instead.
File menuFileMenuThe File menu has options which operate on entire files,
rather than individual elements of the files. For example, the
Print/Select/Query option contains functions to let you print multiple labels
whereas the DataEntry/Names screen lets you print one label. Most of the File
functions work directly with the disk drive.~~Use the up and down-arrow keys to
highlight the item you want then press |═╛Enter|. Alternately, you may press
the highlighted letter you see in each option or use a mouse.~~ Your mailing
lists will be stored in one or more files. You must specify a file to use
before you can enter any information. Think of it this way: you have to go get
a file out of your filing cabinet before you can look at what's there or add
anything to it, and if you don't have any files you have to set one up.
Open & ManageThis option lets you open an existing file or manage the files
you have on disk.~~When you choose this option WML opens the Disk Browser
window which gives you complete control over navigating your computer system in
search of files (for help with the Disk Browser window look at the top of the
Help Index in the Tutorial section)

Highlight your choice and press ─┘Enter.~~You must
have a file open before you can work with entries. If you have not yet created
any files then use the |New| option to create and open your first file. ~~When
you open a file it stays open until you close it (see File/Close), create a new
file (see File/New), open another file, or exit WML.
NewFile_NewCreates a new mailing list file (like labelling a new paper file
folder). When you choose this option a window "pops" open where you can
enter:~~|| A name for the file, and~|| A description of it~~The |file name|
is the DOS name on the disk. It can be 1-8 characters long using letters and/or
numbers.~~The |file description| is up to 40 characters of any type which
describe the file. The description appears next to each file in the File/Open
window.~~|NOTES|~~File names must be unique. You can't make two files with the
same name (the computer would never know which one you wanted). File
descriptions can be identical to others or may be left completely blank if you
prefer.
File nameFileNameA file name consists of one to eight characters, including
numbers and/or letters only (no special characters such as a period, comma,
etc.). WML will force the name to be all upper-case letters. If you enter the
name of a file which is already on disk or enter a name which is unacceptable
for some other reason, a window will pop open with a message explaining the
problem.
File descriptionFileDescIn addition to the file's name on disk you may also
enter a long description of the file, which may contain up to 45 upper-case and
lower-case letters, numbers, and punctuation and other special characters.~~The
long description is stored in a separate file which is compatible with the 4DOS
command interpreter. If you are using 4DOS then these descriptions will appear
when you view a directory of the files from the DOS prompt (using the DIR
command). You may also edit these descriptions using the 4DOS DESCRIBE command;
any changes you make from 4DOS will appear in the WML file list.
CloseFile_CloseCloses the file currently in use. This is useful if you want
to erase the file which is currently open or if you will be leaving the
computer unattended for a long while you can use Close to save any information
which may be sitting in memory.~~|NOTES|~~File headers are written only when
files are closed. If your computer loses power while a file is open, it would
be something like dropping a bunch of papers on the floor: the information is
all there, just a little out of order, so just use the Re-index option to sort
things out again.
Back-up & Restore filesUse to back-up & restore your data files to/from
another disk.
Back-upMakes a back-up copy of your data files. You must have a formatted
floppy disk ready. You can use the same back-up disk over and over again (the
new copy will over-write the old one), but it may be a good idea to alternate
at least three back-up copies.~~|NOTES|~~Use a rotating back-up scheme with at
least three sets of disks or tapes.~~When the work you've done since your last
back-up becomes too much to lose, it's time to make another back-up.~~Using
compression software requires more memory. The back-up function will only let
you choose compression software if you have enough free memory.~~|| ARJ 2.41
needs at least |300k| free~~|| LHARC 2.13 needs at least |189k| free~~||
PKZip 2.04g needs at least |157k| free
RestoreRestores data files from a back-up copy. This is useful if your data
files become damaged or are accidentally erased.~~|CAUTION|~~Restoring data
files |erases| any data files of the same name which exist. If you need to
restore a single file, do so manually from the DOS prompt.
Format FloppiesWML first tries to find WFF.EXE in your DOS search path. If
found, What Floppy Format? is run; otherwise, you will be asked to specify a
drive and the DOS FORMAT command will be used.~~|CAUTION|~~Formatting
completely erases any information which may be on a disk.~~|NOTES|~~Your DOS
|path| must point to |format.com| (which is probably in your DOS directory). If
it does not you will see 'Bad command or file name' flash on your screen and
disks will not be formatted.~~No parameters are passed to FORMAT -- your
drive's highest density will be used.
Re-indexRebuilds index files and counts the flagged entries.~~If a power
outage or other problem causes some of your entries to mysteriously disappear
or the number of Selected, Bad, Omitted, or Deleted entries are wrong, use this
option to refresh the index & flag counts.
PackThe Pack option removes records from the file which have been marked for
deletion.~~Until a file is packed, "deleted" entries remain on file (which
allows you to change your mind about deleting them, if necessary).
ImportThis function lets you read a file which was created by another piece
of software, saving the information is the open WML file.~~After choosing this
option WML will ask for the type of file you wish to import, then for the name
of the file, and finally you will be given the chance to specify how the file
is to be imported.
Including imported entries in groupsIn_GroupsIt is quite easy to include
imported entries in certain groups using the Query functions.~~|Example #1|~~If
you want to place |all| imported records into the same group(s) and there is no
way to distinguish the new records from ones which are already in the open
file:~~1. Create a temporary file (call it "TEMP" or something like that) using
the |F|ile/|N|ew function~~2. Import the file~~3. Choose |F|ile,
|P|rint/Select/Query~~4. Choose Al|l|, |S|elect~~5. Choose |A|ctions, |R|eset
selected to group(s)~~6. Choose the desired group(s) and press |F7|~~7. Open
the file into which you wish to import the entires~~8. Choose |F|ile, |I|mport,
WML 2.x file, and choose the temporary file you just created.~~9. Choose
|F|ile, |E|rase and choose the temporary file you created in step #1~~|Example
#2|~~If you want to place |some| of the imported records into the same group(s)
and/or there is some distinguishing data based upon which WML can identify the
desired entries, then do this:~~1. Open the file into which you wish to import
the entries (|not| a temporary file)~~2. Import the file~~3. Choose |F|ile,
|P|rint/Select/Query~~4. Choose Al|l|, |C|lear so that no entries are
selected~~5. Now choose whichever option will distinguish the entries you want
to place together in a group. For example, some entries might have the word
"Staff" in the comments, in which case you could use the P|h|rase option to
select these entries.~~6. Chooase |A|ctions, |R|eset selected to group(s)~~7.
Choose the desired group(s) and press the |F7| key~~8. Repeat steps 4 through 7
as often as necessary.
ASCII Files, comma delimitedIn_ASCMost software packages can import and
export ASCII (text) files, so you might say it's the most "universal" file
format. An ASCII file contains only the standard letters, numbers, and symbols
found on the keyboard (in other words, no graphic or control characters).
Common examples of ASCII files are the AUTOEXEC.BAT and CONFIG.SYS files found
on most PCs.~~To import an ASCII comma-delimited file WML requires that the
format be:~|| One record per line~|| Each field separated by a comma~||
Quotation marks enclosing each field are optional, however, if a field contains
commas or embedded quotation marks then the entire field must be enclosed in
quotation marks in order for WML to import properly.~~Once you choose this
option you will be asked for a file specification which may include a drive and
path. You may use "wild cards" (e.g., D:\WML\*.TXT) or you may specify the file
(e.g., MYFILE.TXT or D:\ASCII\DATA\MYFILE.TXT). If you use "?" or "*" in the
file name, the Disk Browser window will pop open, allowing you to navigate disk
drives and paths to find the file you want.~~Once you have specified the file
to import you will see two windows:~ The left window shows the import fields
which will be placed in the WML field which is highlighted in the right
window.~ The right window shows WML fields followed by their size in
characters. (The First Name and Surname fields |combined| are 30 characters in
length. Either one may use some or all of this space.)~~|MAPPING THE
FIELDS|~~1. Use the up and down arrows to highlight a WML field in the
right-hand window~2. Press |F3| and a menu showing the first record of the
input file, split into one field per line, will pop up~3. Highlight each field
you want included in the WML field and press the |«SpaceBar»|~4. Press
|─┘Enter| or click on "Ok" when done and you will see the fields you defined
in the left-hand window.~5. Repeat steps 1-4 until you have defined as many
fields as you need.~6. Press the |F9| key to begin importing the file using the
field assignments you specified.~~|SAVING YOUR DEFINITIONS|~~You can save
definitions to disk and later restore them. This is handy if you will be
importing the same type of file repeatedly.~~Press |F7| to save a definition to
disk and |F5| to restore a saved definition. If you begin importing without
saving WML will ask if you want to save the definition to a file.
ASCII Files, fixed field lengthIn_ASCFThis is similar to the comma-delimited
ASCII format except that each field begins and ends in certain columns and does
not have any separator character between fields. Fields may have quotation
marks surrounding them but it is not required.~~Once you choose this option you
will be asked for a file specification which may include a drive and path. You
may use "wild cards" (e.g., D:\WML\*.TXT) or you may specify the file (e.g.,
MYFILE.TXT or D:\ASCII\DATA\MYFILE.TXT). If you use "?" or "*" in the file
name, the Disk Browser window will pop open, allowing you to navigate disk
drives and paths to find the file you want.~~Once you have specified the file
to import you will see a screen where you may indicate where each field ends.
WML assumes the first field begins in column one and that each subsequent field
begins one character after the end of the previous field. While looking at the
display of the first record on the screen, enter the ending column number for
each field. You may press the up arrow if you make a mistake and need to back
up one field.~~Once you enter the right-most column number or press F5 or F9
you will see two windows:~ The left window shows the import fields which will
be placed in the WML field which is highlighted in the right window.~ The
right window shows WML fields followed by their size in characters. (The First
Name and Surname fields |combined| are 30 characters in length. Either one may
use some or all of this space.)~~If the imported file has longer field lengths
than WML the imported data will be truncated (cut off) to match the WML field

Clipper, or any other dBase clone plus any application software which uses the
DBF file format, such as DDLABEL.~~Once you choose this option you will be
asked for a file specification which may include a drive and path. You may use
"wild cards" (e.g., D:\DBASE\*.DBF) or you may specify the file (e.g.,
MYFILE.DBF or D:\DBASE\DATA\MYFILE.DBF). If you use "?" or "*" in the file
name, the Disk Browser window will pop open, allowing you to navigate disk
drives and paths to find the file you want.~~Once you have specified the file
to import you will see two windows:~ The left window shows the import fields

definitions for competing mailing list software, such as DDLABEL. You can get a
free definition for competing software by mailing me a sample file on a disk.
WML FilesYou can import records from other WML files, in effect consolidating
two files into one.~~Once you select File/Import and choose this option, you
will be asked for a file specification. You may enter a complete file name
(such as |MYFILE.WML|) |or| you may enter a file mask (such as |*.WML|). If you
enter a mask, a window of available files will open from which you may choose a
file.~~After you have specified the file you wish to import, WML will ask if
you want to import all of the records from the file or only those records which
are Selected To Print within that file. By importing only the Selected records,
you have total control over which records are imported.
WordPerfect FilesIn_WP?WordPerfect mail merge files can be imported into a
WML file using this function.~~Once you choose this option you will be asked
for a file specification which may include a drive and path. You may use "wild
cards" (e.g., D:\WML\*.WP) or you may specify the file (e.g., MYFILE.WP or
D:\ASCII\DATA\MYFILE.WP). If you use "?" or "*" in the file name, the File
Window will pop open, allowing you to navigate disk drives and paths to find
the file you want.~~Once you have specified the file to import you will see two
windows:~ The left window shows the import fields which will be placed in the
WML field which is highlighted in the right window.~ The right window shows
WML fields followed by their size in characters. (The First Name and Surname
fields |combined| are 30 characters in length. Either one may use some or all
of this space.)~~If the imported file has longer field lengths than WML the
imported data will be truncated (cut off) to match the WML field
size.~~|MAPPING THE FIELDS|~~1. Use the up and down arrows to highlight a WML
field in the right-hand window~2. Press |F3| and a menu showing the data in the
first record of the input file will pop up. If the file is a WordPerfect 5.1
file with field names, then the field names will appear in the window.~3.
Highlight each field you want included in the WML field and press the
|«SpaceBar»|~4. Press |─┘Enter| or click on "Ok" when done and you will see
the fields you defined in the left-hand window.~5. Go back to step 1 and repeat
the procedure for each WML field desired. You need not define every WML field,
only the ones you wish to use.~6. Press the |F9| key to begin importing the
file using the field assignments you specified.~~|SAVING YOUR DEFINITIONS|~~You
can save definitions to disk and later restore them the next time you import a
file which is to use the same definitions. Press |F7| to save a definition to
disk and |F5| to restore a saved definition. If you add or change any of the
field definitions and press F9 without saving, WML will ask if you wish to save
the definition to a file.
ExportExportAllows the entries within a WML file to be saved in a different
file format so that it may be accessed by other programs.~~WML lets you decide
the type of file you wish to create, whether to export all entries in the open
file or just the Selected entries, and which data items you want to export.
ASCII FileExport_ASCIIAn ASCII text file is usable by most word processors,
text editors (including edlin), etc. If you aren't sure what format another
person will need, use ASCII since it is the most universal.~~ASCII files are
read and written in the following format:~|| One record per line~|| For
comma-delimited files, fields are separated by commas~|| For
fixed-field-length files, each field begins at a specific column
WordPerfectExport_WPAllows PostMaster information to be used with
WordPerfect's merge function. An ASCII file will be created which contains the
necessary WordPerfect control codes.~~|NOTES|~~From within WordPerfect press
|«Ctrl»-«F5» T R| (DOS |T|ext File |R|etrieve CR/LF to [HRt]).
Microsoft WordExport_WordCreates a mail merge file of your PostMaster data
for use with Microsoft's Word word processor. An ASCII file will be created
which contains the header information necessary for Word.
Ventura Publisher ASCIIExport_VPCreates an ASCII file with one field per
line and a blank line between fields. Each line contains a tag name preceding
the field. For example, an entry might look like this:~~|@NAME = Acme Tools,
Inc.|~|@ADDRESS = 123 Anywhere Street|~|@ADDRESS = Suite 140|~|@CITY =
Sometown|~(etc.)
Print-Select-QuerySelThe File menu's Print-Select-Query option opens a
"sub-menu" just under the top menu. This sub-menu contains options to perform
these functions:~~ The |Print| menu contains options to print a group list,
labels, envelopes, a phone book, or a zip code distribution list.~ The |All|
menu lets you Select or De-select all entries for printing~ The |Group| menu
lets you Select or De-select entries based on group affiliation~ The |Random|
menu lets you Select entries at random based on certain criteria you can set~
The |Field_Contents| menu lets you Select or De-select entries based on the
contents of any field. For date or numeric fields you can enter a range of
values.~ The |Individual| menu lets you quickly review all entries, just those
which are Selected, or just those which are marked to be Deleted. This is done
using the Find Window which you see when you press F2 from the Names Data Entry
screen).~ The |Actions| menu lets you perform certain actions on the entries
which are Selected To Print.
(Select or Clear)Sel_SC|Select| marks each record to be included in any
print-outs. Records which you Select are |added| to those already selected. For
example, you could clear all records, then mark records in your Christmas List
group then mark records in your Friends group.~~|Clear| is the opposite of
'Select.' Clearing a record means that it will no longer be included in any
print-outs (until it is Selected again).
AllSel_AllSelect or Clear all of the entries in the open file except those
which are flagged as having a bad address or to be omitted from mailings.
GroupSel_GroupSelect or Clear entries according to group definitions. The
Group window will open so you can select the group(s) you would like to select.
Field contentsSel_FieldThis function lets you Select or Clear entries based
on the contents of any one field.~~After choosing this function WML will display
a list of field titles. Use the arrow keys and other cursor control keys to move
the highlight-bar through the list. When the field you wish to use is
highlighted, press ─┘Enter.~~Next a window will open in which you may enter the
data for which to search. If the field is a text field you can enter whatever
you want, but if it's a phone number field then you can only enter a phone
number.~~The date and zip/postal code fields ask you to enter a range of numbers
rather than just one. For these WML will operate on entries which have dates
matching either of the dates or numbers you enter or falling between them.~~You
may also choose to operate on entries which do not have any date or value in the
zip/postal code, mail, response, or birthdate fields. To do this just make the
first value blank by pressing the Del (delete) key until there are no more
numbers displayed.~~|∙| Only upper case letters will be compared. If you search
for "ONTARIO" an entry with "Ontario" will be considered a match. Punctuation is
important, however: LaGrange, La Grange, and La'Grange are all unique.~|∙| If
the Country Setting (on the Preferences/Data Entry screen) is set to "USA Only"
then WML will only accept two letters for the State abbreviation; otherwise you
may enter up to fifteen characters.~|∙| For date and Zip/Postal Code fields you
will be asked to enter a range of values. The entries affected will be those
between and including the values you enter. Postal codes which include letters
work the same way: P7B 4K4 comes before P9B 4K4, Q7B 4K4, or P7B 5K4.~|∙| Any
search of the comment lines (which are actually three fields) will cause WML to
scan all three comment lines.
CitySel_CityYou may enter any text to be matched in the open mailing list
file. Upper & lower-case letters are treated as equal. The city in the file must
exactly match what you type here.
StateSel_StateYou may enter any text to be matched in the open mailing list
file. Upper & lower-case letters are treated as equal. If you search for
"ONTARIO" an entry with "Ontario" will be considered a match. Punctuation is
important, however: W VIRGINIA and W. VIRGINIA are considered to be unique.~|∙|
If the Country Setting (on the Preferences/Data Entry screen) is set to "USA
Only" then WML will only accept two letters for the State abbreviation;
otherwise you may enter up to fifteen characters.
Postal code rangeSel_PostalWhen you query using the zip/postal code field you
are asked to enter a range of values. The entries affected will be those between
and including the values you enter. Postal codes which include letters are
sorted alphanumerically and work the same way as numerical zip codes: P7B 4K4
comes before P9B 4K4 or Q7B 4K4.
Phone numbersSel_PhoneWhen you query using a telephone field WML will ask
you to enter some matching numbers. If you have the Country setting on
"International" then you will be able to enter symbols as well as numbers,
otherwise only numbers will be accepted in the format (###) ###-####.~~You may
enter partial phone numbers so that, for example, you could Select all the
people within a town or neighborhood. If you entered "970527" you would be
Selecting all the people in Paonia, Colorado (area code 970, prefix 527).
RandomSel_RandomThis feature of WML sets the Select flag for entries at
random (or as close to random as a computer can get).~~Specify the number of
entries you want to Select, the minimum & maximum number for the Times Mailed
field, and whether or not to follow the Valid Address setting (which is found
on the General Preferences window).~~ If you ask to Select more than the
number of entries on file, WML will Select all entries.
Times Mailed minimumSel_RandMinIn this field you specify the minimum number
required in the Times Mailed field for an entry to be Selected.~~|Examples|~~
If you wanted to mail only to those people to whom you have already mailed at
least once, enter a one (1) here.~ To include entries which have never been
printed (e.g.,
those which have no mailing dates and a zero in the Times Mailed
field) then enter a zero (0) here.
Times Mailed maximumSel_RandMaxIn this field you specify the maximum allowed
number in the Times Mailed field for an entry to be Selected.~~|Examples|~~ If
you wanted to Select only those entries to whom you have sent mailings six
times or less, enter a "6" here.~ If you wanted to Select only those entries
which have never been printed (e.g., those which have no mailing dates and a
zero in the Times Mailed field), then enter a zero here.
Use Valid Address setting?Sel_RandAddrThis field determines whether |any|
entries may be selected or only those which match the valid address setting in
the General Preferences window.~~ To Select only those entries which match the
Valid Address setting enter "Y" (for "Yes").~ To Select any entries (even
those without a mailing address) enter "N" (for "No").~ If Valid Address
checking is turned off ("All entries considered valid") then answering "Y" on
this line will have the same effect as answering "N".~ For more information
about Valid Address checking see the help topic Preferences, General, Valid
Address setting.
IndividualSelect or Clear records on an individual basis.~~Under this menu
are three options:~~1. Entire list~2. Only selected entries~3. Only deleted
entries.~~| Entire List| will let you choose from all records in the mailing
list.~| Only Selected| will present only those records which are currently
selected.~| Only Deleted| will let you review the records marked for
deletion.~~After you choose one of these options a window will open showing the
records. You can move throught the list using arrow keys, PgUp/PgDn, etc. and
press ─┘Enter to toggle the records selection on and off.
ActionsThis menu lets you perform actions on the entries which are selected
for printing.~~|Reset selected to group(s)| will change the group setting for
all selected records to the group(s) you choose.~~|Add group(s) to selected|
will add the group(s) you choose to the selected records, without changing the
groups to which the entries already belong.~~|Mark selected for deletion| will
set the Delete flag for the selected entries.~~|Clear Delete flag of selected|
will turn off the Delete flag for the selected entries.~~|Omit selected from
mailings| will turn on the Omit flag for the selected entries. Since Omitted
records can't be selected for printing, this also turns off the Select flag,
resulting in zero entries being selected for printing.~~|Clear all Omit flags|
will clear the Omit flag for |all| entries in the file.~~|Set selected to a
date| let's you change the Times Mailed and Last Mail Date of the selected
entries. This is handy for those times when you print a list but then don't
actually mail to the people until a later date. See also the |Set to date| help
entry.~~|Make selected 'Never mailed'| clears the Times Mailed and Last Mail
Date fields. This is handy if you print a list and update these fields, then
are unable to use the labels and need to print them again.~~|Notes on
Deleting|~~Records marked for deletion are |not| removed from the file until
you use the |F|ile/P|a|ck option.
Set to dateSel_Act_SetDateThis option lets you increment the Times Mailed
and/or the Last Mail Date for entries which are Selected To Print. You might
want to do this, for example, if you printed envelopes or labels and then the
actual posting was delayed; you could use this option to reset the date to the
actual date on which the mail was sent.~~|Increment Times Mailed by...| can be
a positive number, a negative number, or zero. Numerical entry works like a
calculator: press the BackSpace key to erase digits; numbers flow from left to
right. To enter a negative number, enter a non-zero number then press the minus
(or "dash") key to switch between positive & negative.~~|New Last Mailed Date|
can be set to a date or you may leave it blank. If you leave it blank, the
dates will be shifted up one slot and the third date will be made blank. To
leave the date blank, enter the Times Mailed figure then immediately press F9
(without accessing the date field).~~Press |F9| to begin changing records.
Press the |Esc| key to exit without making any changes. You can also use a
mouse to "click" on the "buttons" (Help, Begin, etc.) listed near the bottom of
the screen.
Global Field ReplaceSel_Act_GlobalThis option is used to replace the
contents of a field for all Selected entries or all entries on file.~~Once you
choose this option WML will ask you to choose the field you wish to replace,
then it will ask for the new contents of the field. If you do not enter any new
data then the field will be emptied, otherwise it will be replaced with what
you type.~~|Example|~~Perhaps you imported a file in which some entries
contained "US of A" in the Country field, in which case WML would print this on
labels & envelopes. Using this function you can tell WML to replace the Country
field with nothing or, if you were located in Germany, you could tell WML to
change this field to "USA".
PrintPrintMenuIn this menu are options to print a group list or to print
Selected entries on labels, envelopes, a phone book, or a zip/postal code
distribution list.~~To exit the Print-Select-Query sub-menu, choose the option
at the bottom of the Print menu ("E|x|it to top menu").
Group ListThis function prints a list of the groups defined on blank paper.
Groups are added or changed from the |D|ataEntry, |G|roups screen.~~The groups
you define are common to all mailing lists.
Phone BookPrint a phone book containing the selected entries. The phone book
can be printed on a laser or dot matrix printer. You will be asked for two font
selections ── one for titles (the header and footer of each page) and a second
font for the entries.~~Fonts should be no more than 10cpi or 12 points; 12 to
17cpi mono-spaced (fixed) fonts are recommended.~~Use of proportional fonts
will cause the index at the top of each page to "float."
EnvelopesPrints Selected entries on envelopes on your page printer (laser or
ink jet) or line printer (ink jet, dot matrix, or daisy wheel). A return
address may be printed in the upper-left corner of envelopes in addition to the
addressee information.~~|NOTES|~ Envelope offsets (margins) and dimensions are
set on the |P|references, |E|nvelopes screen. If the bar code or any address
information is missing or cut off, adjust the envelope size and/or the
offsets.~ Records must be Selected before they can be printed.~~ POSTNET bar
codes are automatically printed for U.S.A. addresses which have a zip code.
Selecting the return addressSelRetAddIf you have defined one or more return
addresses then WML will ask (in a pop up menu) which, if any, you would like to
print in the upper-left corner of the envelopes. The first item in the menu is
"None" which means that no return address will be printed; the other option(s)
show the first line of the return address(es) you have defined.~~To choose the
one you want use the up & down arrow keys to highlight your choice then press
─┘ENTER.
Label SheetsThis option prints Selected records on a sheet of labels in a
laser or ink jet printer. The size of the sheet is the same as the page width
and length set on the Printers Preferences screen.~~A window will open for you
to define the label sheet dimensions, margins, and the items you want to print
on the labels. This is the same window as accessed with the Preferences/Laser
Labels menu option, and any changes you make in this window will be saved for
future sessions. After pressing F7 on this window you will be asked for the
number of copies of each label to print, followed by the starting label row &
column.~~|NOTES|~~If you are using 3-across labels (the standard type), there
is not enough room to print a bar code for an 11-digit U.S. zip code. Thus,
even if you have the Auto 11-digit Zip option turned ON (on the
Preferences/Other screen), you will only get 5- or 9-digit zip bar codes on the
labels. If you are using 2-across labels then the full 11-digit bar codes will
be printed.~~If the top margin is set to a negative number this will move the
beginning print position upwards on the page. However, if you attempt to set
the starting position higher than your printer's physical top margin the first
lines will overlap each other.
Number of copiesNoCopiesWhen you print labels you may specify the number of
copies to print. Multiple copies are grouped together (i.e., if you print 2
copies of each label WML will print the two copies one after the other, instead
of printing the entire list twice).~~You may specify a number from 1 to 9999.
Starting labelLzLblStartThis setting determines the starting print position
on the label sheet.~~The first label on the sheet is row 1, column 1. WML will
ask you to enter the horizontal and vertical label numbers. (See |Caution|
below.)~~If you are using a full sheet just press the F7 key to accept the
default values. If you wish to start at label other than the top-left one,
enter the numbers as desired.~~|Example|: If you had already used the first
two rows of labels and the first (left-most) label in the third row, the
starting position would be Horizontal (column) 2 and Vertical (row)
3.~~|CAUTION|~~It is possible that an already-used label sheet may lose labels
within your laser printer which could damage the printer. Many people have no
problem re-using label sheets and it is certainly a good idea to minimize
waste. Just the same, be careful: use this technique |at your own risk| and
only if your laser has a fairly straight paper path to minimize the possibility
of labels coming loose inside the printer. Most printers have a special feed
slot or exit slot to make the path more straight.~~|√| Check your printer's
manual to see if they say anything about label sheets. If the manual doesn't
say anything about it, use this rule of thumb: If a 20# or 24# sheet of paper
come out of your printer with a curl in them then it is best to feed a sheet of
labels through only once. On the other hand, if your printer has a "straight
through" path so that sheets come out flat, then it is most likely safe to feed
label sheets multiple times.~|√| LaserJet 4V and 5P manuals state, "Only use a
sheet of labels once."
Data runs into next labelYou may find that the data for one entry runs into
the next label (to the right). Here are some common reasons for this problem
and their solutions:~~|| The font is too large ── if you are using a PCL 5
laser printer (such as a LaserJet III or 4) then go to the Preferences/Printers
screen, highlight the option for the Laser Labels font, and press F3; choose
the same font (or a different one) and then set the point size to a smaller
number (try 8 or 9 points)~~|| The font is too wide ── fonts have different
widths, so even at the same point size two fonts may be dramatically different.
Try using a different font (use the same procedure as above).~~|| Entries are
all-CAPS ── with proportionally-spaced fonts, capital letters take more space
than lower-case ones. If you already have invested a lot of time in a mailing
list, there is not much you can do except try a smaller point size or different
font. Enter data using both upper- and lower-case letters in the future.
Continuous LabelsPrint selected records on the type of label shown on the
menu. The label types you wish to print upon are chosen on the
Preferences/Labels screen.~~|═| Records must be selected before they will
print.
ExitEnd WML (which will return you to DOS or your menu). Always exit the
programme before turning your computer's power off.
Data EntryDEMenuThis menu provides the means for you to enter and change
information in the open mailing list file, or the group, abbreviation, or
message lists.
NamesDE_NamesUse this to add new entries to a mailing list file or to change
existing entries. Each screen contains one entry (like a single Rolodex
card).~~|COMMAND KEYS|~~Notice the special command keys listed near the bottom
of your screen. You can press a command key to perform it's function whenever
it is shown on the screen or you can |click on the command| description with a
mouse.~~|F1| pops open the help window. While on the State/Province field
pressing |F1| will display a list of States & Provinces from which you may
choose and the mailing abbreviation for that state will be inserted into the
record.~~|F2| will display a list of entries on file. You can scroll through
this list and choose an entry.~~|F3| will display the list of Groups you have
defined, showing the ones to which the current entry belongs (if any). You may
then select & clear groups as apply to the entry. Notice that the word |Group|
under the F3 key (near the bottom of the screen) is dim (grey) if there are no
groups defined for the displayed entry, and is |bright| (yellow or bright
white) if groups are defined.~~|F4| is available only while Response Dates are
displayed (see F5 below). Pressing the F4 key increments the Response counter
by one and places to-day's date in the top Response Date field and "bumps" the
date from the top slot to the bottom slot. You can use the Reponse Dates to
track the last times a customer responded to a mailing, the last two payment
dates, etc.~~|F5| switches the date fields between Last Mail Dates and Response
Dates. (Included with the Response Dates is a Birthdate field.) The Response
Dates are useful for tracking when (and how often) a person response to your
mailings.~~|»Alt«|-|P| is used to print the entry shown on the screen on either
an envelope or a label. The steps are:~1. Hold down the |»Alt«| key then press
|P|.~2. If you have two printers defined, choose the one to use.~3. Choose
whether to print a label or an envelope.~ 4. Choose which return address to use
if printing an envelope and two return addresses are defined.~~To change the
status of the four toggles near the top-right of the window ── |D|elete, |B|ad
Address, |O|mit, and |S|elect ── hold down the |»Alt«| key while pressing one
of the letters highlighted (e.g., press »Alt«-D to change the |D|elete toggle).
Alternately you may use a mouse to click on the toggles.~~|EDITING KEYS|~~WML
uses a block or underline cursor to indicate the data entry position within a
field. If a field is empty, the entire field is highlighted and the cursor is
at the left-most position. You may move the cursor without destroying data so
that, for example, you can change "Avenue" to "Street" without having to
re-type the other information in that field.~~Use the right & left |arrow keys|
to move the cursor and leave all information intact. The |Del| key will erase
the character at the cursor postiion. The |BackSpace| key will erase the
character to the left of the cursor.~~The |Ins| (insert) key switches between
"insert" mode (the cursor becomes an underline; new data will push other
information to the right) and "over-write" mode (the cursor is a large block;
new data will erase information under the cursor).~~|Home| and |End| keys move
the cursor to the start & end of the field. If you hold down the |Ctrl|
(control) key and then press either Home or End, the file position will jump to
the top or bottom of the file.~~|PgUp| (Page Up) jumps to the previous entry
and |PgDn| (Page Down) jumps to the next entry within the opened file.
Precisely what the previous & next entries are depends on the active index.~~To
|add new entries| hold down the |Ctrl| (control) key then press the |PgDn| key.
(On the screen the Control key is represented by a carat |^| symbol.) You may
also position the mouse cursor on the |^PgDn| button near the bottom of the
screen and press the left button.~~|| You don't have to set the Number of
Times Mailed or Last Mail Date fields ── these are automatically maintained by
the computer, but you can change them if necessary.~|| Phone numbers and
comments appear only on screen, |not| on labels or envelopes.~|| When you
enter a zip or postal code the State pr Province for that code will be inserted
in the State/Province field.~~|ABBREVIATIONS|~~Abbreviations (also called
"macros") may be used in the Company, Address, and Comments fields. If there is
enough room on the line, any abbreviations found will be expanded to their full
text. If there is |not| enough room on the line abbreviations will remain as
you type them.~~For example, you might have "POB" set as "P.O. Box". But if you
type "12837 Rue de la Wokka Wokka, pob 12" on an address line the "pob" would
remain as it is because there is not enough room to put "P.O. Box" in its
place.
Carrier Route SortDE_CarrRtThis field contains the four-character carrier
route code that the US Post Office uses for bulk mail. Normally this field will
be imported from a data base which contains this information, but you may also
type it yourself.~~|Note:| You can Enable or Disable editing of this field from
the |P|references, |D|ata Entry Settings screen. When Bulk Mailing Features are
Disabled, WML will only display the Carrier Route field if data is present and
will not allow any changes.
Company nameDE_Names_CoIf this entry is for a company, enter the name here.
You can also use this field as an extra address line.~~Abbreviation checking
is active on this field.
AddressDE_Names_AddYou may enter one or two lines for the address of the
person or company.~~√ Abbreviations are checked and expanded on the address
lines.~~√ Only address line #1 is used for duplicate address checking.
State/ProvinceDE_Names_StateThis field holds the U.S. State two-letter
abbreviation, Canadian Province abbreviation, or other State or Province name
(up to 15 characters in length).~~If you are not sure of the abbreviation for
a State or Province, press the |F1| key and a menu will pop open; highlight a
State or Province and press |─┘Enter| and the abbreviation will be inserted
for you.
Zip/Postal CodeDE_Names_ZipEnter the zip code or postal code for the
addressee, if appropriate. When you enter or change data in this field WML
searches its Smart Zip data base. If a matching zip or postal code is found,
the city & state/province is filled in automatically, otherwise, the
information you enter is saved in the Smart Zip data base to be used the next
time you enter the same zip/postal code.~~|NOTES|~~For U.S. zip codes only the
first five digits are associated with a particular city and state.~~WML's
country setting determines whether you can enter numbers only or numbers and
letters in this field.~~When the country setting is "International" then
symbols are accepted as part of the postal code.
Country/PR Urban DistDE_Names_CountryThis field has a dual purpose:~~1. It
holds the Country name |only if| the address is outside the U.S.A. or Canada
(WML automatically figures out when to print USA or Canada), or~~2. It may hold
the name of the Puerto Rico Urban District for P.R. addresses.~~The Country
field only appears when the |Country setting| on the Preferences/Other screen
is set to |International| or an entry is accessed which already has information
in the Country field.
InternetDE_Names_INetIn this field you may place a person's Internet
address. There is room for 50 characters.~~Note: The Internet runs on Unix, and
Unix differentiates between upper-case and lower-case letters.
JohnSmith@hello.org is |not| the same as johnsmith@hello.org.
Phone numbersDE_Names_PhoneWML has room for you to enter up to three phone
numbers for each entry.~~The first phone number an "Extension" field associated
with it; the other two fields do not. The third phone number's description may
be changed to any five characters you choose.
CommentsDE_Names_CommentsYou may enter up to three lines of comments for
each entry. Each line may contain up to 76 characters.~~Abbreviations are
active on the comments lines.
TogglesDE_Names_TogglesOn the top right edge of the Names data entry screen
are four toggles: Delete, Bad address, Omit, and Select. These fields are
either "on" (indicated by a check mark within the brackets |[√]|) or "off"
(indicated by empty brackets |[ ]|).~~The |Delete| toggle flags an entry which
is to be deleted the next time the file is packed. Entries remain on file until
the File/Pack option is used so that you can review the entries marked for
deletion before permanently erasing them from disk.~~The |Bad Address| toggle
indicates that the address on file is incorrect. This maintains the entry on
file for the purpose of duplicate checking so that it will not be entered again
with the same bad address.~~The |Omit/Exclude| toggle indicates an entry which
has a valid address but to which you do not wish to mail. Perhaps it is a
customer who has been chronically late in paying or a propspect to whom you no
longer wish to send mailings.~~The |Select| toggle selects a record for
printing. Selected entries may also be modified as a group using the Actions
sub-menu on the Print/Select/Query menu.
CommentsDE_Names_CmtsWML has rooom for three lines of up to 76 characters
each in which you may write notes about each entry. Comments may contain
anything at all and you may search the contents of the comments by using the
Phrase option on the Print/Select/Query sub-menu.~~|Editing Keys|~~These are
the special editing keys which can be used on the comments line:~~∙ |Ctrl-Y|
erases the entire line~∙ |Ctrl-Delete| erases from the cursor position to the
end of the line~∙ |Insert| (or |Ins|) changes the mode between insert and
type-over. When in Insert Mode the cursor will be an underline. When in
Type-over Mode the cursor is a large block, to indicate that it will "cover"
the character under it with a new character.~∙ |Delete| (or |Del|) erases the
character at the cursor position.~∙ |Home| and |End| move the cursor to the
start and end of the line.~∙ |Arrow keys| move the cursor one step in whatever
direction the arrow points.
Times MailedDE_Names_TimesThis field contains the number of times an entry
has been printed. Normally, WML takes care of incrementing this field whenever
you print labels or envelopes, but you may manually change the value if
necessary.
Last Mail DatesDE_Names_LastWML keeps track of the last three dates on which
a label or envelope was printed for each entry. Normally, WML takes care of
updating these fields whenever you print labels or envelopes, but you may
manually change them if necessary.~~When you use the arrow keys or mouse to
access one of the date fields WML displays the date on file for you to edit,
or, if the date was blank, WML displays to-day's date for you to change if
necessary.~~When WML fills in a blank field with to-day's date you may:~ Press
─┘ENTER to accept the date as displayed, |or|~ Press the or arrow keys or
any other command key to ignore the displayed date, leaving the field blank,
|or|~ Enter a new date then press ─┘ENTER.
GroupsGroupsGroups are used to identify entries within a file. You may have
groups such as "Customers," "Friends," or "Christmas list." Entries may belong
to none or as many as 20 groups. When it comes time to print certain entries
within a file you can choose the entries by the group to which they
belong.~~Entries may be identified with groups on the |Names| Data Entry screen
or by using the |Actions| sub-menu of the Print-Select-Query menu.~~You can add
or change group descriptions at any time. Entries are identified with a group's
location within the data base, so changing the name makes no difference.~~You
may erase group names, however, when the time comes that a new group is defined
using the same location in the data base, any records which "point" to that
location will belong the the new group. When you look at entries on the Data
Entry/Names screen WML will check to see if they belong to a deleted group and,
if so, remove the invalid definition. Thus, if you access each entry in a file
you can remove any references to a deleted group.
Choosing groupsGroup_pickWML has a Group Selection Window which pops open
when you press the F3 key while on the Names Data Entry screen, when you query
by group (from the Print-Select-Query sub-menu), or when using the group
functions on the Actions menu. The Group Selection Window lets you choose up to
20 groups.~~|| Use the arrow () and PgUp/PgDn keys to highlight a desired
group~|| Press the SpaceBar to toggle the group on and off. If an arrow
appears to the left of a group it means that that group is included.~|| Once
you have flagged all the desired groups press F7.~|| To cancel your group
selections press the Esc key. On the Names screen, pressing the Esc key will
keep the group definition the same as it was before you pressed the F3 key.
AbbreviationsAbbrThis screen lets you define abbreviations which you can use
while entering mailing information. WML's abbreviations are short macros. Up to
5.5 million abbreviations may be entered (provided you have adequate disk
space).~~Abbreviations are used in the Company Name, Address, and Comment
fields on the Names data entry screen.~~|Example|~~If you have a lot of entries
which have the comment, "Credit Rating: xx" you could set an abbreviation of
CRG (or whatever) to expand to "Credit Rating: ". Then you would just type "CRG
B+" and WML would expand it to "Credit Rating: B+".
MessagesMsgsThis screen lets you define one-line messages which can be
printed on envelopes and labels, such as "Address Correction Requested",
"Return Postage Guaranteed", or other instructions to the postal carrier. This
can also be used for messages such as "Floppy disk enclosed" or "The
information you requested". You may define up to 5.5 million messages.~~When
you print envelopes or labels you will be able to specify which (if any)
message to print.
Index/FilterThis menu lets you choose how you would like the mailing list to
be ordered for displaying and printing, and which records to display. There are
four index options, a separator line, and four filter options. The index and
filter settings you choose are shown at the bottom of the screen (on the status
line) and affects all output to screen or printer.~~|INDEX OPTIONS|~~|N|ame
sorts the list alphabetically according to Surname plus First Name plus Company
name~~|C|ompany sorts the list alphabetically by company name plus surname plus
first name~~|Z|ip + Address sorts the list by the zip code plus first address
line plus surname~~|U|nsorted displays the entries in the order in which they
were entered in the computer.~~|FILTERS|~~|S|elected displays only the records
selected for printing~~|D|eleted displays only the records marked for
deletion~~|V|alid addresses displays only the records which have valid mailing
address information~~|I|ncluded displays only the records which can be included
in mailings (in other words, the ones which |don't| have the Bad Address or
Exclude From Mailings flags set)~~You can activate more than one filter. The
active filters are conjunctive (logical AND operation). For example, if you
have the Selected and Valid Address filters activated, you will only see those
entries which are Selected for printing |and| have complete mailing addresses.
FiltersThis is a bit like a filter on a camera in that it affects what you
see. You can activate one or more filters simultaneously.~~|S|elected displays
only the records selected for printing~~|D|eleted displays only the records
marked for deletion~~|V|alid addresses displays only the records which have
valid mailing address information~~|I|ncluded displays only the records which
can be included in mailings (in other words, the ones which |don't| have the
Bad Address or Omit From Mailings flags set)~~You can activate more than one
filter. The active filters are conjunctive (logical AND operation). For
example, if you have the Selected and Valid Address filters activated, you will
only see those entries which are Selected for printing |and| have complete
mailing addresses.
PreferencesThis menu determines the overall operation of WML.~~|| Use
|Address| to set one or two return addresses for printing on labels &
envelopes.~|| Use |Continuous labels set-up| to define continuous (dot matrix)
labels if the types you use are not on the list already.~|| Use |Envelope
Size| to define the types of envelopes you will be using.~|| Use |Laser
labels| to define the layout of the label sheets you will use in your laser
printer.~|| The |Other settings| screen has definitions which affect the way
WML functions on your computer, such as error tone, file display, etc.~|| Use
|Printers| to define your laser and/or impact printer(s).
AddressPref_RetAdThis screen has room for you to enter up to two return
addresses, such as a Home and Work addresss.~~If you define two addresses you
will be given the chance to choose the one you want to use when printing
envelopes and return address labels.~~When printing envelopes you may choose to
print either or neither address, in order to accommodate envelopes which have a
pre-printed return address.
Data EntryPref_DEThis screen has settings which affect the way the data
entry screens operate. Briefly the settings are:~~1. |Country| determines your
home country, zip code format, etc.~~2. |City & State formatting| determines
how these fields will be input from the keyboard.~~4. |Default 3rd phone description| contains the
most common description for the third phone number field on the Names screen.
CountryPref_CountryPress the |F3| key to set this field ── a menu of choices
will appear from which you may highlight a choice & press |─┘Enter|~~This
defines the countries for which you will be entering addresses. You may change
this setting at any time ── it will only change the way information is entered
and displayed (nothing permanent).~~|U.S.A. only|~Use this setting if your
mailings will |only| be to U.S. addresses. This setting:~|| Displays date in

Home countryPref_HomeIn this field is the name of the country in which you
live. If the country setting is International then WML will ask you to enter
the country name, otherwise WML will fill in this field for you.
City & State formattingPref_CityThis setting determines how the City and
State/Province fields will be formatted on the Data Entry/Names screen.~~|All
upper case| will accept City & State/Province names in upper case letters only.
The U.S. Postal Service prefers these to be in upper case.~~|Capitalize| will
capitalize the first letter of each word in the City & State/Province name
except for U.S. State abbreviations which are always upper-case.~~|Leave as
typed| will leave these fields as you enter them, allowing both upper and lower
case letters, except for U.S. State abbreviations which are always upper-case.
Default 3rd phone descriptionPref_Phone3This setting determines the default
description for the third phone number of each entry. "Default" means that this
is the description which appears on new records, although you can change it if
you wish.~~The default should be set to the description you will most often
use. For example, if you use the first phone number for an office or "work"
number and the third phone number is most commonly a person's home phone number
(if any), you may want to set the default description to be "Home".~~Remember,
this is only the default which will be applied to new records; you can change
the description on each entry as desired.
Bulk mail featuresPref_BulkThis setting determines whether bulk mailing
features will be enabled.~~This settings affects:~ Whether the Carrier Route
Sort field will appear on the Names data entry screen.~ Whether Carrier Route
data (if present) will be printed on labels.
EnvelopesPref_EnvThis screen let's you define the size of envelope on which
you will be printing as well as the offsets for each edge. An offset is an
amount of distance by which the print will be shifted.~~|NOTE:| WML can print a
return address, however, when printing envelopes on a dot matrix printer it may
be impossible to print the return address at the proper position on the
envelope due to physical limitations of this type of printer. If your printer
is able to begin printing at the very top of a page (with no top margin, in
other words) then you should be able to print your return address. Otherwise,
you will have to use pre-printed envelopes.~~The numeric fields in this window
work like a calculator: use the ─BackSpace key to erase the right-most number;
as you type numbers they will be formatted on the screen; where negative
numbers are allowed, press the minus (or dash, "-") key to switch between
negative & positive.~~|Width & length|: A standard #10 business envelope is 9½
inches wide by 4-1/8 inches long (9.5 by 4.125).~~The |Left/Right Offset| lets
you adjust the position of the return address for best results. A positive
offset will shift the return address to the right and the addressee to the left
- in other words, the left & right margins are moved inward. On a laser
printer, a negative offset will shift the return address text to the left and
the addressee text to the right - in other words, the left & right margins are
moved outward.~~The |Top & Bottom Offsets| let you adjust the vertical print
position. A positive offset will shift text down from the top and up from the
bottom (margins moved inward). On a PCL laser or ink-jet printer, a negative
Top or Bottom Offset will shift text up at the top and down at the bottom
(margins moved outward).~~|Trouble-shooting|~~ If the first line of the return
address doesn't print, set the Top Offset to a positive number (like 0.2).~ If
the bar code is not printing or only partially appears on envelopes, it is
going past the printer's built-in margin. Adjust the bottom margin to a
positive number (like 0.2) to move the bar code upwards.
Envelope formPref_EnvFormThis field tells WML how to control your printer
when printing envelopes.~~ |Manual feed| will cause WML to display a window
with a message before printing each envelope and pause for the user to press
─┘ENTER. Use this setting if you must load envelopes one at a time.~
|Automatic single feed| causes WML to send a "page eject" command after each
envelope & print without pausing. Use this setting if you have an envelope
cassette or your printer allows for multiple envelopes to be stacked in the
input bin (as many ink jet printers do).~ |Continuous (tractor) feed| will
cause WML to advance to each new envelope by advancing the print position one
line at a time (i.e., no "page eject" command is sent). Use this setting if you
are using tractor-feed envelopes (envelopes are connected together in a long
string, just like tractor-feed paper, invoices, etc.).
Return Address FontPref_RAFontSelect the font you would like to use to print
the return address on envelopes. Since the post office does not scan the return
address information, you may use any type of font in practically any size you
want.~~To set this field:~~|1.| Press the |F3| key or double-click on the field
with a mouse. A window of font choices will "pop up" on your screen.~|2.| Use
the up/down/PgUp/PgDn keys to highlight your choice then press ─┘Enter.~|3.|
If the font is scalable you will be asked to enter the size of print you would
like to use.~~|NOTES|~~|| Envelopes normally use |landscape| fonts (soft fonts
ending in .SFL). Some printers, such as the original HP DeskJet, print
envelopes in portrait orientation.~|| WML will allow you to choose only those
fonts which match your printer's orientation for envelopes. For example, if
your printer has Courier 10 in portrait but not landscape, you will not see

Message offsetsPref_EnvMsgsThese two figures determine the position of
messages on envelopes.~~The |Top Offset| determines the distance from the
printer's top margin at which the message will be printed; the |Left Offset| is
the distance from the printer's left margin.~~√ Messages are defined on the
Messages Data Entry screen.
General SettingsPref_GenlThese settings affect more than one area of WML's
operation (in other words, they are "global" settings). For details about an
individual item move the cursor or click the mouse on the item then press
F1.~~1. |Alert sound| determines the sound used to call your attention to
problems, incorrect responses, etc.~2. |Auto 11-digit zip| determines whether
WML will calculate the extra two digits for a 9-digit U.S. zip code (this does
not apply to 5-digit zip codes).~3. |Adhere to USPS guidelines| determines
whether address information will be printed following US Postal Service
guidelines. ~4. |Incomplete addresses| determines whether entries with
incomplete address information will be printed on labels and envelopes.~5.
|Import duplicate rule| and |Import technique| determine how data will be
imported from other file types.~6. |Start on DE Names screen?| determines
whether WML starts at the top menu or in the Data Entry/Names screen.~7.
|Language| changes the written language used. New languages will be added from
time to time. If you are fluent in a language and would be willing to translate
WML's messages, please call Angel!~8. |Vocabulary| determines the set of
terminology which is used in messages. For example, WML's standard terminology
is business oriented whereas the Ministerial terminology is oriented toward
ministers and churches.
Alert SoundPref_ErrSndPress the |F3| key to set this field ── a menu of
choices will appear from which you may highlight a choice & press
|─┘Enter|.~~You can specify whether you want WML to be silent or use a tone to
call your attention to problems (e.g., printer off-line), warnings (e.g., when
data is about to be abandoned), etc.
Auto 11-digit ZipPref_AutoZipIf an address has a 9-digit zip, WML can figure
out the extra 2-digits and check-digit to print a complete Delivery Point Bar
Code (DPBC). The DPBC is required for the lowest bulk mail pricing.~~Since
there may be exceptions to the rule in the future, you may turn this feature
off (i.e., disable it). When this feature is disabled, WML will print the zip
codes as they appear in the mailing list file.
Valid Address CheckingPref_AddChkThis setting helps to avoid mailing to
undeliverable addresses by determining how much information is needed for an
entry to be Selected or exported.~~There are four settings for this field:~1.
|All entries considered valid| will consider all entries to have a valid
address, even if the address fields are blank. In other words, this turns "off"
Valid Address Checking.~2. |Must have zip code or address| will consider
entries to be valid if they have a zip/postal code |or| an address since some
small towns and large businesses don't use a street address, just a city name.
An entry must also have a City name and either a State or Country name.~3.
|Must have street address| will consider an entry valid if it has an address
line, a city, and either a State or Country name (the zip/postal code is not
checked)~4. |Must have zip AND address| considers an entry valid only if it has
complete mailing information: Address, City, State or Country, and Zip/Postal
Code.~~This setting affects:~|√| Printing of labels & envelopes~|√|
Exporting~|√| Print/Select/Query Random screen
Adhere to USPS guidelines?Pref_USPSThis setting determines whether WML will
force compliance with U.S. Postal Service guidelines or will allow a more
traditional printing of address information.~~The USPS uses computers with
optical character recognition (OCR) to scan mail in an attempt to mechanically
sort it (that is, without human intervention). For best accuracy they prefer
that the address information be printed in all UPPER CASE letters without any
punctuation.~~If you set this field to |Enabled| all U.S. addresses will be
printed in UPPER CASE with symbols and punctuation removed.~~When set to
|Disabled| address information will appear as it is entered on the Names Data
Entry screen and with a comma between the City and State names.~~|NOTES|~~This
setting does not affect the printing of Canadian or International addresses.
Import duplicate rulePref_ImportThis setting determines how duplicate
entries will be handled when you are importing a file. In determining if an
imported entry is a duplicate of one already on file, WML checks for an
|identical| name, company name, and/or address, depending on the duplicate
checking options you have active (these are found under the Index
menu).~~|Update duplicates| will update the record on file with the new
information being imported. This is the slowest technique since WML must
compare the information of each duplicate pair and replace empty fields in the
file with the newly imported information.~~|Add duplicates| will add imported
records to the file without checking for duplicates~~|Ignore duplicates| will
|not| add duplicate entries to the open file (in other words, the imported
information is ignored if a matching entry is already on file). This is the
fastest import technique.~~|Ask each time| will pop open a window each time a
duplicate entry is encountered, asking you whether to update, add, or ignore
the record.
Import techniquePref_InMethodThis setting determines how entries with
missing name or company name fields will be handled.~~|Standard| technique will
place the fields exactly as you specify on the import definition
screen.~~|Smart| technique will fill in missing fields by guessing at the
appropriate contents. |Smart Name| will operate only on the personal name. For
example, if the file you are importing has a single field for a person's name,
you can define that field to go into either the first name or surname field and
WML will split it into components. |Smart Name Company| will move a personal
name into the company name field if WML believes it belongs there. |Smart Name
Company| will move a personal name into the company name field or a company
name into the personal name fields, if it seems like the data belongs
there.~~The "smarter" the setting, the more likely it is that WML will make
some mistakes. However, if the file you are importing is inconsistent or has
only a single field for either a person's name or a company name, WML can save
you effort by correcting some (or all) of the entries for you. It is likely
that the highest two settings will contain inaccuracies (e.g., a company name
may end up split into the first and last name fields), but depending on the
condition of the import file you might have more correcting to do if WML didn't
give you a hand.~~|Note|: The file WML.CO contains company name "indicators"
which are used for the highest two "smart" setings. When WML sees one of these
character strings in a name it "knows" that the name is a company name. You can
edit this ASCII file to contain words which are found in the company names of
the file you are importing. Be sure you |make a copy of your edited file|
because the next time you update WML it will be replaced with the one which is
distributed with the package.
Start on DE Names screen?Pref_StartThe setting of this field determines
whether WML will automatically go to the Data Entry/Names screen when it is
first started.~~When |enabled| and a file was open when WML was last ended, the
file will be opened and WML will go to the Data Entry/Names screen.~~When
|disabled| or no file was open when WML was last ended, WML will wait at the
top menu.
LanguagePref_LangThis setting determines the on-screen language you see
while running WML.~~Languages will be added from time to time. If you are
fluent in a language and can help (for trade or pay) to translate WML's

VocabularyPref_VocThis setting changes the words used (within a language)
on the screen. By default, WML uses terminology oriented toward businesses,
however your mailings may only go to churches or schools and, thus, it might
be easier to use WML if the terminology were different.~~If you have a special
application please contact Angel at (970)·527-6756 ── I am eager to address
new markets and would appreciate your comments.
LabelsPref_LabelsThis section of WML lets you define up to 21 different
label styles. All 21 styles may be changed.~~Once you select this option you
will see a menu of label types, some of which may be "undefined".~1. Highlight
the one you wish to view and/or change~2. Press ─┘Enter and the label
definition window will appear.~~Move between the fields in the window using the
arrow keys. When finished press |F7| to save any changes you made or |Esc|ape
to abandon changes.~~A window will pop open warning you if you press the Escape
key and have not saved changes made to the entry on the screen.
Label NamePref_LblNameThis is a name to identify the type of label (e.g.,
"Mailing", "Shipping", etc.) which can be up to 16-characters long.
PrinterPref_LblPtrIn this field you tell WML which printer will be used to
print this label style.~~If you have only two printers defined, then pressing
the F3 key will display a menu from which you may choose the printer to use.
Form StylePref_LblTypeThe Form Style tells WML whether your labels are:~
Manually-fed, one label at a time, or ~ Automatically fed, arranged on a
standard sheet size, or~ Continuously fed via a tractor feed (where the
distance between labels is constant)~~The "standard sheet size" is the page
size entered on the Printers Preferences screen.
Label WidthPref_LblWidthThis is the width of the label, measuring between
the left and right edges.
Vertical DistancePref_LblVertThis is the distance, from the top of a label
to the top of the next vertically-adjacent label.
Number AcrossPref_LblAcrossThe number of labels arranged horizontally. Most
often, labels are 1-across, 2-across, or 3-across.~~Enter a number between 1
and 9 in this field.
Horizontal DistancePref_LblHorizIf your labels are arranged with more than
one label across enter the distance between the left edge of one label to the
left edge of the next horizontally-adjacent label.
Top MarginPref_LblTopThis is the distance, in inches, to offset the printing
from the top of each page and the margin for the bottom of each page. The
3-across 1-inch label sheets have a ½-inch margin at the top & bottom.~~|√|
Only set this field for label sheets; if should be set to zero for continuous
(tractor feed) labels.~~|Page (PCL) Printer Notes|~~Because label sheets vary
and different laser and inkjet printers can have different origins (the place
where printing begins), you will probably need to experiment to find the right
margins for your printer. It is common to need about a ¼-inch margin for both
settings.~~The margin settings for a page printer may be positive or negative
numbers. To move the printing higher or further to the left, set the margin to
a negative number (like -0.1). If you set the top margin past where the printer
is able to print it will cause the first lines to overlap.~~|Helpful Hint|~~Try
printing on plain paper before you use a sheet of labels, then hold a label
sheet and the piece of paper up to a light source to see how they line up.
Left MarginPref_LblLeftThis is the distance, in inches, to offset the
printing from the left edge of each page.~~|Line Printer Notes|~~Some printers
have their paper sensors located a few inches from the left-most printing edge
which may mean you must load your labels to the right of the left-print-edge.
On my NEC P5300 I must load my 1-across labels 1-inch to the right in order to
activate the paper sensor, so I set the left margin for 1.00 inch.~~|Page (PCL)
Printer Notes|~~Because label sheets vary and different laser and inkjet
printers can have different origins (the place where printing begins), you will
probably need to experiment to find the right margins for your printer.~~The
margin settings for a page printer may be positive or negative numbers. To move

|sans serif| fonts, such as Helvetica, Helvette, Univers, Swiss, or OCR in a
|size of 8 to 18 points|.~|| 9 or 10 point fonts are best for 3-across
labels~|| 10 or 12 point fonts are good for 2-across labels.~|| Labels use
|portrait| fonts.~|| When viewing a list of fonts you will only see those
fonts which are available in the appropriate orientation (portrait or
landscape). Labels print in |portrait| orientation. So, for example, if your
printer has Line Printer 16.67 in landscape only (and not portrait), you will
not see it in the list of fonts.~|| Soft fonts |must| end in |SFP|. If you
have portrait PCL soft fonts with different extensions (such as USP) just
rename them to SFP.~|| For sheets of labels, print a test sheet on plain paper
then hold the paper with a sheet of labels up to a light source to see how
everything lines up. This way you can experiment with margins and fonts without
spending a lot of money on wasted label sheets.
Lines to printPref_Lbl_LinesThe bottom portion of the Label Definition
window lets you choose which lines of data you would like to include on
labels.~ [|√|] A check-mark in brackets indicates a line which may be printed
(blank lines are not included on labels).~ [ ] Empty brackets indicate a line
which will |not| be printed.~~|Line Spacing|~~The vertical line spacing of
labels is determined by the number of lines actually printed on each label. If
you choose to print more lines than will fit on a label with standard vertical
spacing (normally 6 lines per inch) WML will adjust the printer's line spacing
to allow for the extra lines.~|| For example, a label which is 1-inch (2.54cm)
long has room for 6 lines at the standard 6 lines/inch spacing. So, if an entry
has 8 lines to be printed, WML will adjust the printer's line spacing to 8
lines/inch.~~|Alignment Tip|~~When you print labels, WML will give you the
chance to print a test label for the purpose of aligning your printer. This
test label will contain the maximum possible number of lines so that you can
check for overlapping lines. This is especially helpful if you have an older
printer which may not support flexible line spacing or if you want to evaluate
the effect of using various fonts.~~|How to change toggles|~~1. Move the cursor
(using arrow keys) to the line you wish to make active or inactive.~2. Press
the Space Bar to toggle the line "on" and "off."~~If you are using a mouse,
click once to position the mouse on a line then click additional times to
toggle the line "on" and "off."~~|Usage Tips|~~ √ If you have an older printer
which does |not| have adjustable line spacing (such as an old daisy wheel
printer) then WML will print using whatever spacing is standard for the printer
(6 or 8 lines per inch). In this case you will have to |reduce the amount of
data to be printed| to fit on labels, otherwise some entries may print past the
end of a label, causing subsequent labels to be mis-aligned.~√ Unless your
labels are too short (top to bottom) it is a good idea to print bar codes.~√ If
you are not doing a bulk mailing you may want to de-activate the Carrier Route
Sort line, although if your mailing list does not have any Carrier Route
information this line will not print in any case.~√ If too large a font is used
the lines of an entry may overlap vertically. To avoid this, use a font size of
10 points or less.
PrintersPref_PtrsYou must define the printer(s) you will use with WML and
define fonts to be used when printing reports. If no printers are defined, a
message appears near the bottom of the screen and printing is disabled.~~|Using
the Printer Preferences screen|~ Use the up and down arrows to move between
the fields~ When |F3/List| is displayed near the bottom of your screen you can
press the |F3| key to open a window of choices.~ For help with a particular
field, position the cursor on the field and press the |F1| key.~~|Which kind of
printer do you have?| A Page Printer includes laser printers and ink jet
printers which are compatible with Hewlett-Packard models. Line printers
include ink jet and dot matrix printers (which are usually compatible with
Epson or IBM) and even older letter-quality impact printers such as daisy wheel
and thimble printers.~~|Can't find your printer in the list?| If you aren't
sure which type you have, just use the F3 key to pop open the list for each
type of printer and look for your printer model in the list. If you can't find
your printer in the list look in your printer's book to see which models are
compatible with it. If you can't find such a list then use these guidelines:~
for laser printers which are not listed try the Hewlett-Packard LaserJet II
setting~ for dot matrix printers try Epson MX-80 and IBM ProPrinter settings
to see which one works properly. Once you figure out whether it's Epson or
IBM-compatible you can try some of the other models for that brand, if you
desire, in order to access more of the printer's built-in fonts.
Setting Page Printer ModelPref_PCLPtrSetOn this line you define the page
printer (laser or ink jet) you will be using so that WML knows how to control
it properly.~~What's a Page Printers vs. a Line Printer? Page Printers
construct an entire page in memory before printing. Line Printers print one
line at a time.~~Many printers, even different brands, use the same control
codes. If your printer is not on the list look in your manual to find a model
it emulates.~~Most laser printers are compatible with an H-P LaserJet II.~~To
set this field:~~|1.| Press the |F3| key or double-click with a mouse. A window
of printer choices will "pop up" on your screen.~~|2.| Use the up/down arrows
or the PgUp/PgDn keys to highlight your choice then press ─┘Enter.
Setting Line Printer ModelPref_LinePtrSetThis field contains the name of a
line printer, if any.~~What's a Page Printers vs. a Line Printer? A line
printer is one which prints line-by-line as opposed to a printer which
constructs an entire page in memory before printing. Line printers include dot
matrix, daisy wheel and other letter quality printers, and ink jet printers

highlight your choice then press ─┘Enter.
Printer PortPref_PtrPortThis is the "channel" WML will use to access each of
your printers ── LPT1, LPT2, or LPT3. If you have a switch box you can set both

connected to LPT1.
Soft Font DirectoryPref_SoftDirIf you use a PCL laser printer you can use
soft fonts (fonts stored on disk which are sent to the laser printer as needed.
When you choose the |Select a Soft Font| option when setting a PCL font you
will be given the chance to specify the drive and path on which your font files
reside. Any new information you enter here will be saved as the new default
soft font directory.
Report Body FontPref_BodyFontSelect the font you would like to use to print
the main text ("body") or reports. This is used for the Group List, Phone Book,
and Zip/Postal Code Distribution List.~~To set this field:~|1.| Press the |F3|
key or double-click with a mouse. A window of font choices will "pop up" on
your screen.~|2.| Use the up/down/PgUp/PgDn keys to highlight your choice then
press ─┘Enter.~|3.| If the font is scalable you will be asked to enter the
size of print you would like to use.~~|NOTES & TIPS|~~|| A 15cpi fixed-pitch
(or "mono-spaced") font, such as Courier, works best for the phone book.~||
When viewing a list of fonts you will only see those fonts which are available
in the appropriate orientation (portrait or landscape). Reports print in
|portrait| orientation. So, for example, if your printer has Line Printer
16.67 in landscape but not portrait, you will not see it in the list of

Page dimensionsPref_PageSizeThere are two page dimension fields for each
printer: width and length. In these fields you define the size of paper you
will be using to print report (such as the Phone Book or Zip Code
Distribution).~~WML initially sets these values to 8.5-inches (21.59cm) wide
and 11-inches (27.94cm) long, which is "U.S. Letter" sized paper. You may
change these values to any value supported by your printer, up to 32.7-inches
(83.23cm).

only apply to the file which is open.~~If no file is open, this option cannot
be chosen from the menu.
Extra date field descriptionPref_ExtraDateIn this field you may enter the
field title for the extra date field which is accessed by pressing the F5 key
while on the Names Data Entry screen.~~Common titles for this field are Birth
Date, Purchase Date, etc. The field's title may be up to 13 characters long and
may contain any combination of letters, numbers, or special characters.
Group filePref_GroupFileIn this field you may enter the name of a group file
which contains group descriptions for the open file only. If no group file is
entered here, the default group file (WML.GRP) is used. This allows a mailing
list file to be transported from one computer to another without re-defining
groups.~~|Note:| The group file |must| reside in the same directory as the
mailing list file.~~|Example|~~Let's say you have mailing list files on one
computer and you have defined groups you use with those files in the default
group file (that is, you have |not| defined a special group file for any of
your mailing lists). A situation arises where you want to use another
computer's printer, however, that computer is also using WML and has a
different set of groups defined. Here are the steps you would take:~1. Copy the
WML file you wish to use to a floppy disk. If the file were CUSTOMER.WML then
you would COPY CUSTOMER.WML A:. If the file is large you may need to use a
compression programme (LHARC, ARJ, PKZIP, or RAR) or a back-up utility (such as
the DOS BACKUP or MSBACKUP utility).~2. Copy the group file WML.GRP to a new
name on a floppy disk. For example, COPY WML.GRP A:CUSTOMER.GRP would copy the
group file to a new file called CUSTOMER.GRP to a disk in the A: drive.~3.
Bring the floppy disk(s) to the other computer and copy (or de-compress or
restore) the files to the hard disk. You may even want to place these files in
a separate directory to make it easier to delete them when you are finished.~4.
Run WML, open the newly copied file, then go to the Preferences/This File's
Settings screen and enter the group file name in this field. For example, if
the group file's name is CUSTOMER.GRP you would enter "CUSTOMER" in the Group
File field.
Duplicate CheckingPref_DupCkThe duplicate checking options are listed under
the Preferences menu. A dot || to the left of any of these three options means
that it is active.~~When a dup checking option is active you will be told each
time a duplicate is detected.~~Duplicate checking applies to entering new
records from the keyboard as well as importing from other files~~Address option
checks the file for duplicate Address-line-1 only; line 2 of address is |not|
checked for duplicates.
